If you enjoy keeping operations running smoothly and love supporting community-focused work, PCCLD has an opportunity for you. We’re looking for a Community Relations Assistant who will help support the events, programs, and communications that connect our library district with the public.
This position is part-time 20 hours per week. The Community Relations Assistant provides administrative and operational support to the Community Relations department, handling office supplies procurement, operational ordering and support, scheduling, records and inventory and front-line communications. This position also provides hands-on support for events and programs. This position coordinates bulk mail and supports all mailers.
The Community Relations Assistant works under the direct supervisor of the Executive Director of the Library District Foundation and Strategic Initiatives. This position works both independently on assigned tasks and as a team member providing support to department efforts. The position occasionally interacts with library customers, department visitors and provides excellent customer service demonstrating the ability to communicate effectively with people regardless of age, race, sexual orientation, ability level or background.
PRIMARY DUTIES AND RESPONSIBILITIES
- Handles all office supply inventory and ordering for the department, including placing orders with vendors, coordinating deliveries and pickups and maintaining purchase records and inventory logs.
- Assists bookstore volunteers with day-to-day needs, including supplying materials and supporting basic reseal operations.
- Serves as the library district’s point of contact for bulk mail; coordinates bulk mail process, maintains bulk mail account, ensures compliance with USPS requirements and coordinates with Technical Services and CSU Extension as needed.
- Supports all Library mailers by preparing materials, coordinating printing and assembly, and tracks and schedules mailing timelines.
- Maintains departmental calendars; schedules meetings and community events, coordinates room reservations, and ensures logistics for internal and external gatherings.
- Process purchase requests, tracks invoices and expense documentation, and supports basic budget tracking for operational lines.
- Maintains and updates contact lists for community partners, volunteers, and vendors; assists with distribution and list hygiene tasks as requested.
- Serve as first point of contact for community inquiries routed to Community Relations; triage and forward requests to appropriate staff.
- Provide event logistical support including setup coordination, volunteer check-in assistance, and post-event inventory reconciliation.
- Support special projects and operational tasks as assigned by the Development Specialists or Community Relations leads.
- Coordinate All Pueblo Grows activities with CSU Extension and Technical Services department.
OTHER DUTIES AND RESPONSIBILITIES
- May serve on library committees as a department representative.
- Performs other duties as needed.
QUALIFICATIONS
Education and Experience:
- High School diploma or equivalent required; Associate’s degree or coursework in administration, nonprofit management, or related area preferred.
- Minimum of two (2) years of administrative or operational support experience, preferably in a nonprofit, library or community-facing environment.
- Familiarity with procurement processes, basic inventory systems, and standard office software (email, calendar, spreadsheets.)
- Experience supporting volunteer-run operations or resale/used-book programs is a plus.
- Basic experience with donor or CRM databases and list maintenance is preferred.
- Experience facilitating bulk mail operations or coordinating large-scale mailings is preferred.

- Occasional bending, reaching, and standing during event setup or inventory tasks.
- Comfortable moving between office and event spaces.
- Primarily office-based with occasional work in library branches and event venues.
- Regular exposure to computers, printers, and standard office equipment.
- May involve light physical activity during events or mail preparation.
- Ability to maintain focus in a fast-paced environment with multiple priorities.
- Must be able to work a flexible schedule, including evenings and weekends for events or deadlines.
Other Requirements Must submit to and successfully pass a criminal background investigation.
Wage: $18 per hour
